Terms

Use of our conference facilities is subject to the agreement of our written terms. Please read the following guidelines to ensure that your visit is as comfortable and hassle-free as possible.

Bookings

  • Your chosen venue(s) and rooms will be held tentatively for seven days, from the date we accepts your booking.
  • Confirmation of your booking is required in writing to us, and a deposit payment made within seven (7) days of making your booking. If the booking deposit is not received within seven days, the premises will be released and your booking may be cancelled. Exceptions and extensions may apply at management’s discretion.

deposits

  • A deposit is required within seven (7) days of booking.
  • Upon receipt of the deposit, it is understood that the client has accepted our Terms and Conditions.
  • Tentative bookings without a deposit paid will only be held for a period of seven (7) days.
  • We reserves the right to release any tentative bookings after the seven (7) days.

CONFERENCE OR EVENT DETAILS

  • You are required to provide the Kumudzi in writing particulars of all venues, beverages, entertainment, technical requirements, room set ups, starting and finishing times in connection with your conference or event. These details are required at least 5 days before your event.
  • Guaranteed Numbers – final attendance numbers must be notified to us seven (7) days prior to your conference or event. Any reduction in attendance numbers within seven (7) days prior to your event will be subject to charging at the full contracted amount.
  • You must ensure that nothing is nailed, screwed or adhered in any way to any wall, door or other part of the building unless prior permission is granted by the Kumudzi management.
  • We reserves the right to release any tentative bookings after the seven (7) days.

cancellation

  • All cancellations are required in writing.

CIRCUMSTANCES BEYOND our CONTROL

  • If we are unable to provide the facilities or any other arrangements for your conference or event or any part thereof, or to otherwise perform the terms of this agreement and our failure is due to circumstances beyond our decision or control, we are not responsible for any costs, damages or expenses that you may suffer or incur.

CONDUCT OF THE CONFERENCE OR EVENT

  • Your conference or event must be conducted in an orderly and lawful manner.
  • We may terminate your conference or event if the we reasonably believe that your conference or event is not being conducted in an orderly and lawful manner.
  • We will have no responsibility to you for any costs, damages or expenses that you may incur in relation to our termination of your conference or event.
  • We may exclude or remove any persons or possessions from your conference or event or from the premises. No food or beverages of any kind, other than those provided by Kumudzi, will be permitted at the conference or event or dining venue without the consent of management.

external suppliers

  • Where goods or services are supplied from an external supplier additional terms and conditions may apply, such as additional deposits, earlier confirmation of final numbers or cancellation fees. You are responsible for any fees that may apply in relation to an external supplier’s terms and conditions.
  • Kumudzi acts as an agent for external suppliers, such as Transfers, Activities, Photographer and Videographer, Decorators, Equipment and others, therefore the suppliers hold all responsibility for their services.

WAIVERS of RESPONSIBILITY

  • Theft, damage or loss of any goods brought onto the Resort Premises
  • Any introduction of food to the conference or event and the affect of thereafter.

LOSS AND DAMAGE TO THE PROPERTY

  • You are responsible for all loss and damage to the property of Kumudzi Centre (including the Premises and any fixtures, furnishings or goods) caused by or arising from any act or omission by you, your guests or any other persons attending your conference or event or present in the conference rooms.
